How to create a Schedule Template using Google Sheets

Let us create the following weekly schedule in Google Sheets.

The steps are simple. We will use built-in features and functions. Before proceeding with the main steps, let us prepare a separate spreadsheet named Helper with the following table.

Please make sure to follow the same time format as shown above to avoid errors.

Now, add a new spreadsheet using the “+” icon in the lower-leftmost corner.

STEP #1 – Create the Header

Header plays a crucial role for all types of templates. You can add personal details, including logos, to the table.

  • Select the entire first row
  • Increase the height as shown below
  • Select all the cells from A1 to H1
  • Hover to the toolbar section that sits below the main menu
  • Click on the Merge cells icon
  • Type “Weekly Schedule
  • Increase the font size to 30
  • Change the font alignment to the middle
  • Change the cell background to light gray (Hex Code – #fafafa)
  • Make the font bold

Here’s how our header looks after following the above steps,

STEP #2 – Design the Navigation Table

In this step, we will create a table where you can select the week start date, day start time, and time interval.

Note that we will use the separate spreadsheet created at the beginning, which holds time and intervals.

Let’s begin,

  • Select the entire third row
  • Increase the height as shown below
  • Click on the cell “B3
  • Type “Week Start Date
  • Next, click on the cell “C3” and type “Day Start Time
  • Click on the cell “D3” and type “Interval
  • Select all the cells from B3 to D3
  • Change the cell background color to green (Hex Code – #00ac46)
  • Make the font bold
  • Change the font color to white
  • Change the font alignment to the middle

The headers for the table are ready. Here’s how it looks,

Now, let us ensure that a calendar popup appears while selecting the week start date.

  • Select the cell “B4
  • Hover to the main menu and click on “Data” tab
  • Choose “Data validation” from the popup
  • A new dialog box will appear on the right-hand side of the screen
  • Click on the “Add rule” button
  • Click on the dropdown below the option named “Criteria
  • Select “Is valid date” from the list
  • Press the “Done” button in the green

Here’s how the calendar popup looks when we click on the cell “B4”.

We will create a dropdown for the day start time using the following steps.

  • Select the cell “C4
  • Go to the main menu and click on the “Data” tab
  • Choose “Data validation” from the popup
  • A new dialog box will open on the right side of the screen
  • Click on the “Add rule” button
  • Click on the dropdown below the “Criteria” option
  • Select the “Dropdown (from a range)” option from the list
  • An empty box will be displayed as shown below
  • Click on the table icon of the empty box
  • A new popup will be displayed
  • Now, click on the empty box of the new popup
  • Go to the “Helper” spreadsheet
  • Select the range as shown below
  • Click on the “OK” button in the green
  • All the options from the range will be populated into the Data validation popup, as shown below
  • Scroll down until you find the “Advanced options” button
  • After clicking on it, you will see the following options
  • Click on the radio button before the options “Show a warning” and “Arrow
  • Click on the “Done” button

A dropdown icon will appear in cell C4, as shown below,

When you click on that icon, a list will be displayed.

Next, we will follow the same steps and create a dropdown for the “Interval” column of the table.

This time, we need to use the second column of the Helper spreadsheet while selecting the range.

Here’s how the dropdown looks for the Interval.

STEP #3 – Design the Horizontal Header of the Main Table

There are two types of headers in the main table.

The first is the horizontal header, where all the days and dates appear. Refer to the following image.

Similarly, the second one is a vertical header that displays the time of the day.

Let us create them one by one.

We will start with the horizontal header.

  • Select the cell “B8
  • Type “=B4
  • Next, Select the cell “C8
  • Type “=B8+1
  • Repeat the above steps and create a table as shown below,

The output should look like as follows,

These are our weekdays. Now, let’s format them.

  • Select all the cells from B8 to H8
  • Hover to the main menu and click on the “Format” tab
  • Choose the “Number” from the popup
  • Click on the “Custom data and time” option
  • A new dialog box will appear, as shown below
  • Scroll down and select the date format as shown below
  • Click on the “Apply” button

Now, you will see all your dates will be converted to the selected format.

Similarly, we need to create the weekdays with the help of the UPPER and LEFT functions in Google Sheets. Our formula is as follows,

=UPPER(TEXT(B8,"dddd"))

Here are the steps:

  • Click on the cell “B7
  • Copy and paste the following formula,
    =UPPER(TEXT(B8,”dddd”))
  • Hover to the lower-rightmost corner of the cell B7
  • You will see a Fill Handle icon
  • Click on it and drag till the cell H7

The table will be as follows.

Let’s format the header.

  • Select all the cells of the header as shown below
  • Reduce the font size to 9
  • Change the cell background color to green (Hex Code – #00ac46)
  • Change the font color to white

Here’s how the horizontal header of the table looks,

STEP #4 – Design the Vertical Header of the Main Table

In this section, let us create the vertical header for the main table.

Before starting, we need to make a special arrangement. Select the cell D5 and type the following formula,

This formula will create an integer number, which can be used in the formulas in the upcoming section.

We will use the TIME function in Google Sheets for the entire column header.

Let’s begin.

  • Select the cell “A9”
  • Type “=C4”
  • Next, click on the cell “A10”
  • Copy and paste the following formula,
    =A9+TIME(0,(D5),0)
  • Now, repeat the above steps and complete the table as shown below,

By following the above steps, the column header will look as follows.

Now, let us format the column.

  • Select all the cells of the column
  • Go to the main menu and click on the “Format” tab
  • Choose “Number” from the popup
  • Click on the “Custom data and time” option
  • A new popup will be displayed
  • Scroll down and select the time format as shown in the following image
  • Click on the “Apply” button

Our time interval column will look as follows.

Finally, select cell A7 and type “Time“.

STEP #5 – Adjust the Formatting

In this step, let us adjust the formatting of our template to make it more attractive.

We will start with the font type.

  • Select the empty box that appears above the table, as shown below
  • Hover to the toolbar section
  • Click on the font option
  • Select the “Lexend” font

Here’s how our table will look.

Now, adjust the column widths as shown in the following image.

Let us change the border color for the table and turn off the gridlines.

  • Select all the cells of the main table
  • Hover to the toolbar section
  • Click on the Borders icon
  • Change the border color to light gray using the steps shown in the following image
  • Next, click on the Borders icon from the toolbar section again
  • Select “All borders” as shown below
